Cancelling QuickBooks takes five minutes if you know where the button is, and an hour on the phone if you do not. Here is the five-minute version, plus how to keep your data.
Export first
- Reports: run Profit and Loss, Balance Sheet and General Ledger for each year, export to Excel.
- Transactions: Bank transactions, select all, export to CSV per account.
- Lists: Reports, Account List and Customer Contact List, export.
- Attachments: Settings, Attachments, download in batches.
Cancel
- Sign in as the primary admin.
- Settings (gear), Subscriptions and billing.
- Under QuickBooks, Cancel subscription, then Continue to cancel.
- Answer the survey and confirm. You will get an email confirmation; keep it.
- If you subscribed through the App Store or Google Play, cancel there instead.
What happens to your data
Intuit keeps read-only access for one year after cancellation. You can log in and export, but not add transactions. After a year it is gone. Export before you cancel anyway.
Annual plans and refunds
Annual subscriptions are not prorated. Cancel before the renewal date, and set a calendar reminder a month ahead; the renewal email is easy to miss.
What next
Upload the CSV exports or, simpler, the bank statements for the same period to ProfitBooks. The AI categorizes everything and you are running again the same day for $20 a month. See switching from QuickBooks.
