Switching guide

How to switch from QuickBooks to ProfitBooks

Five steps, about an hour, and you never type a category by hand again. Works whether you are on Simple Start, Essentials, Plus or Solopreneur.

  1. 1

Export what you want to keep

In QuickBooks go to Reports, run Profit and Loss and Balance Sheet for each year you care about, export to Excel. Then Transactions, Bank transactions, export to CSV per account. Ten minutes.

  2. 2

Download the bank statements instead (recommended)

For the period you want in ProfitBooks, download the PDF statements from each bank and card. Statements are cleaner than QuickBooks exports and carry balances for reconciliation.

  3. 3

Create a ProfitBooks account and drop everything in

Sign up in 60 seconds. Drop the statements or CSVs for all accounts and all months at once. The AI builds your chart of accounts from your industry and categorizes everything.

  4. 4

    Review the exceptions

Transactions the AI was unsure about wait in one list. Confirm them in two clicks each. Compare your new profit and loss with the QuickBooks export for the same period.

  5. 5

    Cancel QuickBooks

Settings, Subscriptions and billing, Cancel. Intuit keeps your data readable for a year after cancellation. Invite your accountant to ProfitBooks so they are not surprised in April.

FAQ

Questions, answered

Do I lose my QuickBooks history?

No. Export it before you cancel, and Intuit keeps read-only access for a year. Most people bring the current and previous year into ProfitBooks and keep the older exports on file.

Should I switch mid-year?

Yes, if you bring the whole year's statements so the new books start on January 1. ProfitBooks asks for your books start date during setup.

What about my QuickBooks invoices and customers?

Invoices you sent are matched to the deposits on your statement. If you need to keep sending invoices, use any invoicing tool and upload the PDFs.

Will my accountant be annoyed?

Accountants are annoyed by messy books, not by software. Invite them free, show them the profit and loss (and the reconciled balance sheet on Full Books), and hand them the CSV exports at year end.
