Why people switch

Accounting software charges you to do the work yourself.

A ledger subscription runs $25 to $90 a month and does not categorize a single transaction for you. Xero Early caps you at 20 invoices and 5 bills a month; FreshBooks charges $11 a month per extra user. Either way you still need hours every month, or a bookkeeper at $300 or more.

How it works

Three steps. About four minutes.

You do not set up a chart of accounts, connect a bank, or learn double-entry anything. You upload, you confirm a few things, you get reports.

  1. 1

    Upload whatever you have

Bank statements, credit card statements, receipts, invoices, CSV or Excel exports. PDF or a photo. Months or years at a time, in any order.

  2. 2

    The AI does the books

It reads your business name off the statement, asks your industry, builds a chart of accounts, and categorizes every transaction with a confidence score. Most are finalized automatically.

  3. 3

Review the few, get the reports

Anything it was unsure about waits in one list. Confirm in two clicks. Your profit and loss updates as you go. Export or invite your accountant.

What you get

Everything a small business needs from bookkeeping. Nothing it does not.

Reads any statement

Chase, Bank of America, Wells Fargo, Amex, Capital One, credit unions, neobanks. PDF or a phone photo. Multi-month statements are split into the right months automatically.

Statement uploads

Categorizes with confidence

Every transaction gets a category and a confidence score. Set the bar: auto-finalize above 95%, or review everything. The AI learns your corrections.

How categorization works

Matches receipts and invoices

Drop in receipts and invoices and they get matched to the card charge or deposit they belong to, so your records are audit-ready without a shoebox.

Receipts and invoices

A profit and loss you can trust

Built from a real ledger, by month, quarter or year. Click any line to see the transactions behind it. Export to CSV for your tax preparer. Need a reconciled balance sheet too? That is the Full Books plan.

Reports

Month coverage map

One screen shows every account and every month, which ones are in your books, and which are missing a statement. Catching up on a year takes an evening.

Catch-up bookkeeping

Bring your accountant

FAQ

Questions, answered

What do I actually have to do?

Upload the documents you already have: bank and credit card statements as PDFs or photos, receipts, invoices, and transaction exports. The AI reads them, figures out your business name and industry, builds a chart of accounts, and categorizes every transaction. You glance at the few it was not sure about and confirm them in two clicks.

Is it really $20 a month?

Yes. The Profit plan is $20 a month, billed annually as one $240 charge, for one business with unlimited uploads and unlimited users, and it gives you a categorized profit and loss, which is what most owners need to run the business and file. Full Books, at $99 a month billed annually, adds a balance sheet prepared every month with full bank reconciliation, the work you would otherwise hire a bookkeeper for. On either plan you pay only for the transactions that get finalized into your books, using credits. You get 100 free credits when you sign up and 10 more free credits every day, so many small businesses never buy a credit at all.

What is a credit?

One credit finalizes one transaction into your books. Uploading documents, AI reading and predictions, reports and exports are all free. Purchased credits never expire. Bundles start at 200 credits for $50. See how credits work.

Do I need to connect my bank?

No. ProfitBooks works from the statements your bank already gives you. Download a PDF or take a photo of the statement and drop it in. There are no bank logins to share and no feeds that break in the middle of the month.

What is the difference between Profit and Full Books?

Profit ($20 a month, billed annually) categorizes everything and gives you a profit and loss by month, quarter or year. Full Books ($99 a month, billed annually) adds what a bookkeeper does: every statement reconciled to the penny, a balance sheet prepared monthly, journal entries and year-end adjustments, so your CPA can file without a cleanup. Most solo businesses start on Profit; businesses with loans, inventory, partners or an S corp usually want Full Books.

Can my accountant or tax preparer use it?

Yes. Invite them for free. They see the same transactions and reports you do, and can export everything as CSV for their tax software.

I am months (or years) behind. Can it catch me up?

That is the most common reason people show up. Drop in every statement for the period you need, in any order. The coverage map shows exactly which months are in your books and which are still missing. Read the catch-up bookkeeping guide.

How is this different from Xero, Wave or FreshBooks?

They give you an empty ledger and a subscription that starts at $25 a month, then expect you, or a bookkeeper you hire, to categorize every transaction. ProfitBooks starts from your documents and does the work. You pay $20 a month, billed annually, plus pay-as-you-go credits, instead of $300 to $660 a year before you have hired anyone. Side by side: comparisons.

Is my financial data safe?

Your data is never sold, and your documents and identifiable data are never shared with other customers; we improve the service using de-identified, aggregated data only.
