FAQ
Questions, answered
Which plan do I need?
Profit ($20 a month, billed annually) if you want to know what you made, categorize everything and hand your preparer a clean profit and loss. That is most freelancers, contractors and sellers. Full Books ($99 a month, billed annually) if you want a balance sheet you can trust, which means every account reconciled every month: businesses with loans, inventory, partners, an S corp, or a CPA who asks for one. Both plans share the same uploads, AI and credits, and you can switch any time.
What does each plan include?
Both: unlimited uploads and storage, unlimited users, the AI reading and categorizing every document, the transaction ledger, coverage map and CSV exports. Profit adds the profit and loss by month, quarter and year. Full Books adds full bank and card reconciliation, a monthly balance sheet, opening balances, journal entries and year-end adjustments. Credits are the only other charge on either plan.
Is the base plan required?
You can sign up, upload and categorize with your free credits before you decide. The $240 base plan keeps your business active for a year and unlocks purchasing credit bundles.
What counts as a transaction?
One line on a bank or card statement, one deposit, one charge, one transfer. A credit is spent the moment that line is finalized into your books, whether the AI did it automatically or you confirmed it. Re-categorizing a transaction later does not cost another credit.
What do the free credits cover?
Every business gets 100 credits at signup and 10 fresh credits every 24 hours. Free daily credits do not accumulate; they reset. So a business with around 300 transactions a month that logs in regularly may never need to buy a bundle.
Do purchased credits expire?
Never. Buy a bundle when you are catching up on a year of statements and the leftovers are still there next year.
Are there per-user fees?
No. Invite your business partner, your bookkeeper, your CPA. Unlimited users are included in the base plan.
Is there a monthly option?
Not today. Profit is $20 a month and Full Books is $99 a month, each billed once a year ($240 and $1,188). Credits are bought whenever you want, with no subscription.
What happens if I cancel?
Your books stay readable and exportable for the rest of your paid year. Export everything as CSV any time. Nothing is held hostage.
How does this compare to Xero or FreshBooks?
Xero Early is $25 a month ($300 a year) with caps on invoices and bills, and you do all the categorizing. Xero Growing is $55 a month ($660 a year). A typical ProfitBooks customer with 150 transactions a month pays $20 a month, billed annually, and nothing else, because the free daily credits cover it. Side by side on the comparison pages.
