Can ChatGPT do my bookkeeping?

What ChatGPT and general AI chatbots can and cannot do for bookkeeping, the risks of pasting statements into a chatbot, and what purpose-built AI bookkeeping does differently.

You can paste a bank statement into ChatGPT and ask it to categorize the transactions. It will. Then the problems start.

What it can do

  • Explain what a category means or which Schedule C line something belongs on.
  • Categorize a short list of transactions, roughly.
  • Draft a chart of accounts for your industry.

What it cannot do

  • Keep a ledger. There is no double-entry system behind the chat, so nothing reconciles and nothing persists.
  • Remember last month. Each conversation starts over; your corrections are forgotten.
  • Read a 40-page statement reliably. Extraction errors on amounts and dates are common and silent.
  • Produce a balance sheet, a coverage map or an export your accountant can use.
  • Keep your data private by default. Check the data-use settings before pasting financial documents.

What purpose-built AI bookkeeping does differently

ProfitBooks uses the same class of models to read documents, but wraps them in an actual accounting system: a ledger, a chart of accounts built for your industry, reconciliation against statement balances, confidence scores on every categorization, and a memory of your corrections. The model's judgment is checked by arithmetic, and the output is books, not a chat transcript.
