You can paste a bank statement into ChatGPT and ask it to categorize the transactions. It will. Then the problems start.
What it can do
- Explain what a category means or which Schedule C line something belongs on.
- Categorize a short list of transactions, roughly.
- Draft a chart of accounts for your industry.
What it cannot do
- Keep a ledger. There is no double-entry system behind the chat, so nothing reconciles and nothing persists.
- Remember last month. Each conversation starts over; your corrections are forgotten.
- Read a 40-page statement reliably. Extraction errors on amounts and dates are common and silent.
- Produce a balance sheet, a coverage map or an export your accountant can use.
- Keep your data private by default. Check the data-use settings before pasting financial documents.
What purpose-built AI bookkeeping does differently
ProfitBooks uses the same class of models to read documents, but wraps them in an actual accounting system: a ledger, a chart of accounts built for your industry, reconciliation against statement balances, confidence scores on every categorization, and a memory of your corrections. The model's judgment is checked by arithmetic, and the output is books, not a chat transcript.
